Front Desk Receptionist - Full-time
Front Desk Receptionists are needed for a large specialty group. Position requires someone with a great customer service mindset. Duties will include registering patients, answering the phones, preparing the office for the day and scheduling patient appointments. As well, collecting payments at the time of service, balancing all transactions daily, scheduling patient follow-up appointments and facilitating referral requests and test scheduling.
Position will be full-time Monday – Friday, 8:30am – 5:00pm. Position will pay $12/hr. Positions that are open for full-time work are @ a Richmond location & a Mechanicsville location.
Must have the following qualifications & experience:

Up to 2 years of experience in a medical office or in a customer service position

Proven success asking for payment, making change and balancing a cash drawer

Working knowledge of managed care

Familiarity with all aspects of medical office administrative tasks

Computer literate, knowledge of practice management and word processing software, Excel & EMR (note – practice is on Centricity)

Proven experience handling irate patients/customers and dealing with conflict

Ability to perform multiple & diverse tasks simultaneously

Neat, professional appearance

Strong written and verbal communication skills
Responsibilities will include:

Opening office daily by protocol
-
Answering telephone professionally and pleasantly, and efficiently screen and direct calls & make appointments as necessary. Adhere to 3 ring answer & smile in voice manner.

Screen visitors and respond to routine requests for information

Maintain office equipment and office supplies at front desk
-
Ensure all faxes are cleared & distributed throughout the day

Open, date stamps and deliver mail daily

Complete charts for following day’s patients including new patient paperwork highlighting all areas not already complete. Check all demographic information and ensure correct both in CPS and EMR

Keep the patient reception area and office area neat & clean at all times

Schedules patient appointments: explains to patient which pieces of information they are to bring, provides a range of potential charges for the visit and the patient’s financial obligation, provides patients several scheduling options, follows approved scheduling guidelines, prepares and send out all appropriate information to patients by e-mail or postal mail to ensure completion before visit

Greets patients as they arrive for scheduled appointments. Ensures registration forms and other patient paperwork is complete and up to date. Review with patients yearly.

Verifies demographic and insurance information for new and established patients, according to protocol; scans a copy of each patient's insurance card, front and back.

Collects co-pays, co-insurance, and account balance payment from patients at the time of their visit and provides patients with a receipt

Requests payment in addition to the day’s services from patients with outstanding account balances—provides patients with a receipt

Checks out patients, enters charges and collects payments. Schedules follow-up appointments

Balances daily over-the-counter transactions and reconciles encounter forms; prepares deposit slip and delivers "daily close" packet to the billing office staff.

“Closes” the office each day, according to protocol

Scan all forms and charts into EMR according to protocol

Copies and remits patient records according to protocol as requested by patients, insurers, attorneys or other recognized agencies after such request has been approved by physician. Charges appropriately for requests by attorneys, etc.

Assists in other front office or administration duties at the request of the Front Desk Manager or Physicians, or as needed

Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice

Typical Physical Demands:

Position requires full range of body motion including manual and finger dexterity and eye-hand coordination. Involves standing and walking. Employee will occasionally be asked to lift and carry items weighing up to 30 pounds. Normal visual acuity and hearing are required. Employee will work under stressful conditions, and be exposed to bodily fluids on a regular basis.
